This Privacy Policy describes how Dignetix Ltd ("Dignetix", "we", "us") collects, uses, stores, and protects information when you use FieldVault ("the Service"), available at fieldvault.app. By using the Service, you agree to the practices described here.
1. Who we are
FieldVault is a product of Dignetix Ltd, a Michigan‑based managed technology services company. For any privacy‑related questions, contact us at hello@fieldvault.app.
2. Information we collect
We collect only what's necessary to deliver and support the Service.
Account information
- Your name, email address, and (if you sign in with Microsoft) your Entra ID identifier
- The name of your organization and any industry preset you select
- User role assignments within your workspace
Your workspace content
- Gear items, kits, jobs, crew records, sites, assignments, and related metadata you enter
- Photos and documents you upload to the Service's storage buckets
- Settings, custom categories, and location configurations
Technical & usage information
- Log and diagnostic data (IP address, browser, device type, timestamps)
- Feature usage patterns, aggregated and used only to improve the Service
- Error reports generated when the Service encounters a problem
We do not knowingly collect information from children under 16. If you believe we have, please contact us and we will delete it.
3. How we use your information
We use the information we collect to:
- Operate, maintain, and improve the Service
- Authenticate users and enforce role‑based access controls
- Respond to your support requests and communicate service updates
- Detect and prevent fraud, abuse, and security incidents
- Comply with our legal obligations
We do not sell your data. We do not use your workspace content for advertising, and we do not train artificial‑intelligence models on it.
4. How we share information
We share information only in these limited circumstances:
- With service providers. We use Supabase for authentication, database, and storage; Netlify for hosting; and other trusted processors strictly necessary to run the Service. These providers are contractually bound to protect your data.
- Within your workspace. Content in your workspace is visible to authorized members of that workspace according to the role permissions you assign.
- For legal reasons. We may disclose information if required by law, legal process, or to protect the rights, safety, or property of Dignetix, our users, or the public.
- In a business transfer. If Dignetix is involved in a merger, acquisition, or asset sale, your information may be transferred, subject to the protections of this policy.
5. Data storage & security
Your data is stored in Supabase‑hosted PostgreSQL databases with row‑level security policies that isolate each workspace. Data is encrypted in transit (TLS) and at rest. Uploaded photos and documents are stored in access‑controlled buckets.
While we take reasonable technical and organizational measures to protect your information, no system is perfectly secure. If we become aware of a security incident that affects your data, we will notify you in accordance with applicable law.
6. Data retention
We retain your workspace content for as long as your account is active. If you delete an item, kit, job, or other record, it is removed from the live database promptly. Backups may retain deleted data for up to 30 days before being overwritten.
If you close your account, we will delete your workspace content within 90 days, except where we are required to retain it for legal, tax, or regulatory purposes.
7. Your rights
Depending on your jurisdiction, you may have the following rights:
- Access. Request a copy of the personal information we hold about you.
- Export. Export your workspace content at any time in Excel or JSON format from the Settings screen.
- Correction. Update inaccurate information yourself via the Service, or by contacting us.
- Deletion. Request deletion of your account and associated data.
- Objection & restriction. Object to or restrict certain processing of your personal data.
- Portability. Receive your data in a structured, machine‑readable format.

8. International transfers
Dignetix is based in the United States, and our service providers may operate servers in other countries. By using the Service, you consent to the transfer of your information to countries that may have different data‑protection laws than your own. We use appropriate safeguards, including standard contractual clauses where required.
9. Cookies & local storage
The Service uses cookies and browser local storage to keep you signed in, remember your preferences, and maintain session state. We do not use third‑party advertising cookies or cross‑site trackers.
10. Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top. For material changes, we will notify you by email or through a notice in the Service before the change takes effect.
